Leadership Team Co-ordinator

The Leadership Team Co-ordinator provides administrative, planning, and event support to the Chief Executive Officer while also assisting the wider Leadership Team. You will play a crucial part in ensuring the efficiency of WSET by delivering personalised and timely support and will be a key point of contact across the business. Building strong relationships with internal teams and contributing to initiatives that foster a positive workplace culture are expected as well as engaging with WSET’s Board of Trustees and other stakeholders to facilitate smooth communication and collaboration.
Key responsibilities:
Scheduling and travel
- Manage calendars for the CEO, Leadership Team (LT) and PMO, coordinating meetings, board sessions, and travel.
- Oversee agenda planning and business reservations.
- Act as a key liaison between internal teams and external stakeholders.
Meeting co-ordination
- Plan Trustee meeting, AGMs and Partner meetings
- Create agendas and take accurate minutes for Trustee, LT and other meetings.
- Plan and organise offsite meetings.
WSET Jobs Board – Communications and engagement
- Manage WSET job board, LinkedIn and X (Twitter) updates, ensuring timely posts and engagement.
- Respond to queries and troubleshoot issues.
Administrative and governance support
- Oversee the Global Travel Management system
- Manage contract management system
- Process invoices and order business cards
- Review and approve LT expenses
- Prepare reports, presentations, and briefing materials as required.
Events and social engagement
- Support the marketing events team with Diploma graduation administration event/ceremony
- Support the Fun & Social initiatives group/participate in culture group(s).
This role requires discretion, strong organisational skills, a high degree of literacy and minute-taking expertise and the ability to manage multiple priorities with professionalism and efficiency.
Definitions:
Fully remote – Can be performed entirely remotely from any location.
Hybrid remote – Performed as a mixture of in-office and remote work.
Temporarily remote – Performed in a single location, such as an office or at a job site, but which is temporarily remote during special circumstances).
