Key Responsibilities

Job Summary

The Facilities Manager is responsible for overseeing the daily operations and maintenance of all company facilities, ensuring a safe, functional, and efficient working environment. This role encompasses a wide range of duties, including managing the physical premises, handling vendor contracts, overseeing maintenance schedules, and ensuring compliance with health and safety regulations. Facility Management

 

  • Oversee the daily operations and maintenance of all company facilities.
  • Develop and implement preventive maintenance schedules for all equipment andsystems, including HVAC, electrical, plumbing, and security.
  • Coordinate and supervise all building and grounds maintenance, ensuring a clean and safe environment.
  • Manage relationships with vendors, contractors, and service providers, negotiating contracts and ensuring quality service.
  • Monitor and ensure compliance with all applicable regulations, codes, and standards, including OSHA and environmental regulations.
  • Manage space planning and allocation, optimising office layouts and facility utilisation.
  • Coordinate and oversee facility renovations, refurbishments, and relocations as needed.

Fleet Management

 

  • Oversee the maintenance, servicing, and repair of the company’s vehicle fleet, ensuring all vehicles are operational, safe, and in compliance with legal requirements.
  • Develop and maintain a fleet management system, tracking vehicle usage, mileage, and fuel consumption.
  • Coordinate vehicle inspections, registrations, and insurance renewals, ensuring timely compliance.
  • Manage relationships with vehicle service providers, ensuring quality and cost-effective services.
  • Implement and enforce fleet policies and procedures, including driver safety programs and vehicle usage guidelines.
  • Monitor and control fleet-related expenses, optimizing operational efficiency and cost savings.

Health & Safety

 

  • Develop, implement, and monitor safety programs and policies to ensure a safe work environment.
  • Conduct regular safety inspections and audits, addressing any potential hazards promptly.
  • Ensure all safety equipment and systems are regularly tested and maintained.
  • Lead the response to emergency situations, coordinating evacuation plans and safety drills.
  • Provide training and guidance to staff on safety procedures and best practices.

Budgeting & Financial Management

 

  • Prepare and manage the facilities and fleet management budget, ensuring cost-effective operations.
  • Monitor and control expenses, providing regular financial reports to senior management.
  • Identify and implement cost-saving initiatives without compromising quality or safety.

Sustainability & Environmental Responsibility

 

  • Develop and implement sustainability initiatives aimed at reducing the company’s environmental footprint.
  • Monitor energy consumption, water usage, and waste management practices, identifying opportunities for improvement.

Qualifications

 

  • Proven experience in fleet management, including vehicle maintenance and compliance.
  • Strong knowledge of building systems (HVAC, electrical, plumbing) and maintenance practices.
  • Excellent understanding of health and safety regulations, including OSHA compliance.
  • Strong leadership and team management skills.
  • Excellent organisational and problem-solving abilities.
  • Ability to manage multiple projects simultaneously and meet deadlines.
  • Proficiency in facilities management software and tools.
  • Valid driver’s license and ability to manage fleet-related tasks.
