Wine department Stock Controller / Administrator - Essex

Hours required are 7am- 3pm

Main Purpose of the role:

The wine stock controller will work closely with wine department in ensuring customer demand is met in a timely manner. You will also be responsible for taking on various administrative tasks as set by the team. You will also be responsible for ensuring that the stock we hold in the warehouse is recorded and any abnormalities are dealt with in a timely and effective manner.

Main responsibilities of the role:

· Produce stock and order reports and create order and submit to suppliers on a timely basis

· Review stock order report for slow/ non-selling products and advise the Wine department

· Inspect stock to ensure products are being sold on a timely basis and not nearing expiry of best before date where applicable

· Review over allocation reports and effect appropriate action for remedy

· Support the wine department with administrative tasks

· Help set up the wine room when required

· Processing sample requests following authorisation from the Wine Director.

· Maintain a high level of product status awareness and possible substitutions if required

· Conduct stock counting checks

· Checking the vintage on wines

· Expedite any adjustments after stock checks

· Updating adjustment spread sheets

· Running and analysing stock movement reports

· Dealing with Telesales queries as and when they arise

· Dealing with any queries presented by the sales representatives

· Take input ullage details and report to the supplier

· Log ullages on the relevant spread sheet and ensure that it is kept up to date with any changes

· Build and maintain close working relationships with suppliers and customers

· Build and maintain a close working relationship with other departments; including but not limited to Distribution, Warehousing, Telesales, Purchase Ledger.

· Be a source of expertise to be utilised by the company

· Building and maintaining excellent customer relationships

· Forward planning for business need

· Running and understanding reports using DEFACTO

· Liaise with relevant people to ensure that credit ullages and credit collections are processed and kept up to date

· Ensure that the credit spreadsheets are kept up to date.

· Liaising with Warehousing to book in delivery times for goods inwards.

This is not an exhaustive list and you are required to be flexible in your approach to carrying out your duties which may change time to time in order to reflect business need or for the company’s continuous improvement.

Person specification:

· Excellent computer skills, including all programmes within the Microsoft package, preferably advanced Excel

· Experience of working with DEFACTO or a willingness to learn

· Proven experience of working within a stock control environment

· A strong and assertive style to problem solving

· A detailed understanding of the aims and objectives of Hills Prospect

· An excellent working knowledge of wines and the products we stock

· Proven ability to work independently and as part of a team

· Excellent attention to detail

· Excellent written and verbal communication skills

· Ability to plan workloads in order to ensure both internal and external demands are met

· The ability to be both proactive and reactive when responding to matters arising at work

· Excellent interpersonal communication skills

· A thorough understanding of the need to maintain confidentiality

· Ability to plan workload in order to meet internal and external demands

Job Type: Full-time

Pay: From £26,150.00 per year
