We’re looking for a Trade, Retail and Private Client Co-ordinator to join us at Taurus Wines in Surrey. Taurus Wines is a multi-award-winning independent wine merchant near Guildford, with a beautiful 400-year-old barn as its HQ and a modern warehouse nearby. The Trade, Retail and Private Client Co-ordinator is mostly an administrative role, based in our shop, focused on the following:

Key responsibilities

  • Preparing end of month statements, reconciling payments, invoicing and setting up Direct Debits for trade accounts.
  • Pro-actively maintaining trade customer relationships through preparing wine lists, tastings and other forms of collabs.
  • Taking care of private clients, including stock-taking, preparing monthly statements of wines (including duty paid, under bond and en primeur wines en route), issuing duty and VAT invoices for landed en primeur, arranging delivery and/or storage for en primeur and preparing fine wine notes.
  • Assisting with the preparation and monitoring of large corporate sales (especially at Christmas where a single order can require 100s of deliveries)
  • Adding new products to the website, including writing original descriptions using team tasting notes, sourcing bottle pictures from suppliers etc and maintaining current vintages and ABVs on the website.
  • Online order processing.
  • General stock-taking and booking in of stock when it arrives.
  • Preparing duty forms (W5s) and monthly filing of W1 returns.
  • Filing ARC import paperwork and preparing international purchase orders.

Requirements

A willingness to muck in and be a team player – this is a small business and sometimes vans need unloading and customers need serving on the shop floor. The successful candidate, while usually based in the office, will spend some of their training period learning about all aspects of the business, including spending a few days in the vans on deliveries, in the warehouse and on the shop floor.

The ability to touch type and complete proficiency in MS Office suite especially Outlook, Word, Excel and Teams.

Experience in the drinks industry.

Languages an advantage.

Strong interpersonal, organisational and administrative skills especially an attention to detail.

Full, clean, manual driving licence.

Physically fit and able to lift boxes of 15kg.

The ideal candidate will be willing to work at least 26 weekend shifts per year. Typically this would be a Saturday, but it may be a Sunday during peak trading seasons.
